SAP provides tools such as the Digital Access Estimation Note and the Passport Report, but takes no Responsibility for the Accuracy of the calculated Results. This means that the Licensing Risk remains with you!
Unfortunately, the Passport Report can produce inaccurate Results for Digital Access Assessments, while the Estimation Report requires significant Interpretation, Expert Analysis, and Validation to arrive at an accurate and defensible Document Volume.

What Is SAP Digital Access? What You Need to Know
In April 2018, SAP introduced Digital Access, a new Licensing Model intended to simplify the Use of Third-Party Applications with SAP Systems. Instead of Licensing Indirect Users, SAP measures and charges based on the number of Documents created in SAP by External Applications, Interfaces, and Automated Processes.
SAP’s Digital Access Licensing Model requires Organizations to determine the Volume of Documents created in their SAP Systems. While SAP provides Tools such as the Digital Access Estimation Note and the Passport Report, it does not guarantee the accuracy of the Results. The Responsibility — and therefore the risk — remains with the Customer.
Usage and Limitations
The Passport Tool requires an Update to the latest SAP Release in order to collect Data. Prior to the Update, the Passport Table does not contain any Data, and a Measurement can only be performed after one year of Data Collection.
While the Passport Report is typically more accurate than the Estimation Report, it still has important Limitations. These include the Exclusion of Deleted Documents and a Lack of Transparency regarding the Users and Interfaces responsible for Document Creation.
Neither of the two Tools provides a complete Overview of the Licensing Requirements for Digital Access. The Passport Report is prone to Inaccuracies, while the Estimation Report requires Individual Interpretation and cannot be considered a binding Basis for License Calculation.
Challenges and Solutions for Indirect Usage and Digital Access
It is important to keep in mind that neither of these Tools provides a complete Overview of your Digital Access Licensing Requirements. Therefore, they do not provide a clear Picture of your Digital Access Licensing Costs.
